Workflows are not for the lighthearted. They can be time-consuming to build overall.
98% of clients will not need this advanced step and can make good use of Task Reminder Status Triggers in lieu of spending hours creating a workflow.
However, for the brave, please see below on how to create a workflow. Do note, our workflows have not been updated in some time.
1. Settings > CRM > Workflows
Create your workflow. You are allowed to add an Action and Reminder for each step.
2. Settings > CRM > Contact Types
Create status tags that match each step of your workflow.
4. Settings> CRM > Workflow Triggers > Contact Status Transition
Now set up workflow status triggers to transition to the next step as soon as the previous step is completed. This status tag will be visible on the contacts page to be able to identify which step of the workflow the lead is on. Please ensure you are removing the previous step status tag as you are adding the next step status tag.
5. Settings > CRM > Contact Status Trigger > Task Reminder Status Triggers
This step you'll create tasks under each step using the task reminders (which is visible in Quick Preview on the Contacts page). You are able to add a reminder & task description.
6. Once all the rules are set, you are able to simply attach the status tag to activate the workflow. Once the status is attached, the workflow title and the first step status tag will populate. Once step 1 is complete, it will change to step 2, then step 3, and so on.
IMPORTANT NOTE:
In order for the status tag to transition, you must check off the steps on the actual workflow page which can be found by:
Clicking on the leads name (not the Quick Preview) going to the Workflow tab and checking off a step.
