How to Create a New Contact Status
Learn how to add, customize, and configure a new Contact Status to help organize your contacts.
Before You Begin: What Are Contact Statuses?
Contact Statuses help you organize your contacts within BPD. Once created, they can be used for filtering contact lists, triggering automations, and managing your overall workflow.
Good to know: Contact Statuses can be used for filtering, automations, and workflow management — so it's worth taking a moment to plan out clear, consistent naming before creating several at once.
Step 1: Open the My Company's Statuses Section
PATH: Settings > CRM > Contact Statuses
- Navigate to Settings > CRM > Contact Statuses.
- Scroll down to the My Company's Statuses section.
Step 2: Add a New Contact Status
- Click the blue Add a New Contact Status button, located next to the My Company's Statuses section.
Step 3: Enter the Contact Status Name
- In the Contact Status field, enter a clear and descriptive name (for example, Lead Stage).
Good to know: This name is for internal use only and helps your team identify the status at a glance.
Step 4: Customize the Status Colors (Optional)
Personalize how the status appears by selecting a background and font color.
| Field | Description |
|---|---|
| Background Color | Sets the background color of the status badge. Default is gray. |
| Font Color | Sets the text color of the status badge. Default is black. |
Good to know: Using distinct colors for different statuses makes them easier to spot in contact lists and reports.
Step 5: Choose Visibility
Good to know: Visibility options (Parent Company, Subcompany, Shared/Partner Company) will only appear if your account is configured with these company relationships. If you don't see these options, this simply doesn't apply to your account setup.
Select where the Contact Status should be available:
| Option | Description |
|---|---|
| Parent Company | Makes the status available to your Parent Company account. |
| Subcompany | Makes the status available to Subcompany accounts. |
| Shared/Partner Company | Makes the status available to Shared or Partner Company accounts. |
Good to know: These options only appear if your account is configured with these company relationships.
Step 6: Set an Expiration (Optional)
If you want the Contact Status to be automatically removed from a contact after a set period:
- Check the Expired box — this enables the expiration settings below.
- Enter the Expires After value — this is the numeric length of time before the status is removed.
- Select the expiration unit — choose from Minutes, Hours, Days, Weeks, or Months.
- Set a specific expiration day/time (optional) — configure the status to expire on a specific day of the week and at a specific time.
Step 7: Exclude Contacts (Optional)
- If you want contacts with this status hidden from searches and standard contact lists, check the Exclude box.
Step 8: Save the Contact Status
- Click Create Contact Status to save your new Contact Status.
- Once saved, your new status will appear at the bottom of the My Company's Statuses section. The Add New Contact Status form will clear once saved, so you can just add another Status if you wish.
Step 9: Create Additional Contact Statuses
- Repeat Steps 3–8 to create as many additional Contact Statuses as you need.
Step 10: Finish
- When you're done, simply navigate to another area of the CRM.
- The Add New Contact Status section will close automatically once you leave the page.
