When you send emails to your contacts whether it be through direct email, campaigns, email blast or one of the many other ways to notify your contacts you may want to know how many emails are actually opened. To do this we will need to navigate to REPORTS >> Emails.
ACTIVITY TAB
On the Activity Tab you have 6 different ways you can filter your data which will then be displayed on a graph just below once you click the "Display Stats" button. Below the Graph will be the individual emails send to your contacts.
- Search by the Emails Subject line that was used
- Filter by specified Date Range
- Search by User Assigned to the contact when the email was sent
- Used to specify the type of email that was sent (see below for more information)
- List of all Email Templates on your BPD account
- List of all Campaigns that you have on your BPD account
The color coded graph will display the date and # if you hover over the Points. Clicking on the colored line descriptions above the graph allows you to Hide a particular data set.
There are several different types of emails that can be sent from Big Purple Dot, here are where they come from (Filter Option 4 from above)
- Custom emails are on 1 to 1 emails sent from the contact record and are done by clicking on the email to send an email directly to that contact.
- Recurring Mail are emails found under the Event Campaigns (Settings >> CRM >> Autoresponse Emails, then Event Campaigns) and can be set up for contact birthday, spouse/co-borrower birthday, Anniversary, and Loan Close Anniversary.
- Blast emails are those sent in Bulk from the Contacts area. Selecting multiple contacts then hitting the Blast icon in the header row is how to send a Blast email.
- Thank You emails from the Open House (via iPad). Allows you to have a check in form and anyone that checks in gets a thank you email that will be displayed here.
- Campaign emails are sent from a Drip Campaigns and can contain multiple emails or Texts to contacts. (Settings >> CRM >> Autoresponse Emails, then Drip Campaigns)
- Autoresponse Emails are sent via the Autoresponse Rules found under (Settings >> CRM >> Autoresponse Emails, then Autoresponse Rules) and are used to automatically send an email to a lead.
- Milestone are emails sent through an Encompass Integration setup which can send emails to the borrower, buyers agent, sellers agent or CC'ing the LO based on what milestone the contact reaches using templates built in BPD.
Once you have your Date Range picked, assigned LO selected, and filtered your results will be displayed on the Graph and below the graph will be a list of all the emails that were sent. You can click on the eye ball to the right to open and see what was sent along with when it was sent and opened. You can also Export the filtered results by clicking on the Blue Export CSV button. This will send you an email with the downloadable link or if the results are small enough, it will be downloaded straight to your browser.
BLASTS TAB
Under the Blasts tab you'll get an ordered view of all the email Blasts that are Completed, Enqueued or In Progress. From this tab you can get a quick glance at the Subject of the email Blast, when it was sent and how many contacts were selected and emailed successfully.
To get additional detail to calculate your blasts Open Rate you can click on Export to download the CSV results of your blast. Included in this report will be the Contact URL Link, Contact Name, Contact Email, Email Subject, Time it was Sent at and Viewed at.
Once you have your results you can calculate your Open Rate (Opened divided by Sent gives you the open rate).
